Refunds & engagement changes

Scope

These policies apply to fees for financial auditing engagements, interim reviews, internal control walkthroughs, and subsidiary reporting pack audits contracted through a signed engagement letter with Oak Current Audit Partners. They do not cover products, subscriptions, or physical goods, which we do not sell.

Eligibility for refunds

Fees already earned for completed fieldwork, issued reports, or partner review time are not refundable. Unused portions of a prepayment may be refundable when we cancel an engagement for reasons within our control, or when you cancel before fieldwork begins under the conditions below.

Timeframe to request

Refund requests related to deposits or unused prepaid fees must be made in writing within 30 days of the cancellation date or of the event giving rise to the request.

Full & partial refunds

If you cancel more than 21 days before the scheduled start of interim or final fieldwork, we refund prepaid fees less a planning charge of up to 15% of the agreed engagement fee for work already performed (scoping, letter drafting, preliminary risk assessment).

If you cancel within 21 days of scheduled fieldwork, prepaid amounts covering the first fieldwork week are non-refundable because staff calendars are reserved. Later unused stages may be refunded proportionally after we deduct hours already incurred.

Non-refundable items

Third-party confirmation postage or courier costs already spent, travel booked for inventory observation with non-refundable tickets, and fees for reports already delivered (audit opinion, review conclusion, or management letter) are non-refundable.

Work already started

Once fieldwork begins—including remote document review billed against the engagement—fees for hours worked are due. We provide a time summary on request when settling a partial refund of unused prepaid balances.

Deposits

The initial deposit on a statutory audit (typically one-third of the engagement fee) secures your place on our calendar. It is applied to earned fees as work progresses. Unused deposit balances follow the cancellation rules above.

Rescheduling

You may request to move fieldwork dates once without charge if you give at least 14 days’ notice and we have capacity. Further moves or short-notice changes may incur a rescheduling fee reflecting partner and team reallocation.

No-shows

If client personnel required for walkthroughs, inventory counts, or closing meetings are unavailable without timely notice, we may charge for the reserved day and rebook when calendars allow. Repeated no-shows may lead to withdrawal from the engagement under the engagement letter.

Refund process & method

Email hello@routingplatformcloud.digital with your engagement reference, the reason for the request, and the account that paid the fee. Approved refunds are returned by the original payment method within 14 business days of approval. Bank transfer refunds within Japan typically clear faster than cross-border returns.

Processing time

We acknowledge refund requests within five business days and aim to decide within ten business days after receiving any information needed to reconcile hours and expenses.

Exceptions

If we withdraw from an engagement for independence or professional reasons before substantial fieldwork, we refund unused prepaid fees after deducting documented planning costs. Statutory or regulatory requirements that prevent delivery of an opinion after substantial work has occurred are addressed in the engagement letter; fees for work performed remain payable.
