Preparing confirmations for Japanese banks and trade partners

Timing, language, and address lists that keep confirmation replies from stalling your closing schedule.

Bank documents and correspondence on a meeting table

Bank confirmations in Japan often move slower than finance teams expect. We send requests early in interim fieldwork for major accounts and keep a chase log with the client’s banking relationship manager copied where appropriate.

Trade receivable confirmations work best when the customer’s accounting contact—not only the sales representative—receives the letter. Wrong addressees produce polite silence rather than useful replies.

Bilingual forms reduce friction for overseas parents confirming intercompany balances. State the currency, the amount, and the as-of date clearly; ambiguous wording invites partial responses that cannot be used as audit evidence.

Alternative procedures start on a calendar date, not when someone ‘feels behind.’ Agree that date in the planning memo so subsequent cash receipts testing and shipping document review begin without debate.
